1. Background

The Centre for Youth and Social Development (CYSD) is a non-government, non-profit organization dedicated to improving the lives of deprived and marginalized communities through sustainable development initiatives & capacity building.

CYSD frequently hosts/conducts state level events; workshops, outreach programs, youth meet. To ensure efficient, cost-effective, and highly professional execution of these events, CYSD intends to update its list of qualified vendors.

2. Objective of this EOI

CYSD invites eligible Event Management Agencies to express their interest and register on the CYSD Vendor Registration Portal.

The objective of this exercise is to pre-qualify and empanel a pool of reliable event management partners for a period of 2 years. Empanelled agencies will receive exclusive opportunities to participate in restricted bidding processes (RFPs/RFQs) for upcoming assignments.

3. Scope of Services

Prospective agencies should have expertise in one or more of the following areas:

• Event Infrastructure & Production: Stage design, fabrication, high-end Audio-Visual (AV) setups, sound systems, LED screens, and venue branding (banners, standees, backdrops).
• Logistics & Hospitality Management: Managing local transport, hotel booking, and catering arrangements for multi-day events.
• Documentation & Media: Multi-camera live-streaming setups, professional photography, event videography, short summary videos (3 to 5 minutes), and high-quality report/PDF document design.

4. Minimum Eligibility Criteria

Agencies wishing to register must fulfil the following basic conditions:

• Must be a legally registered entity in India (Proprietorship, Partnership, Private Limited, LLP, or Society) operating for at least 3 (three) years in this portfolio.
• Must possess valid corporate registrations including PAN and GSTIN.
• Must have past experience handling similar scale corporate, NGO, or Government events.

CYSD encourages applications from the early-stage youth led Start-ups/Social Enterprises working in the areas of event management, communication, creative services and technology enabled event solutions. Such organizations will be given due preference during technical evaluation, provided they demonstrate innovation, professional competence and ability to deliver services.

5. Required Documentation for Portal Upload

When registering on the portal, agencies will be required to submit:

• Company Profile: Detailing core competencies, team structure, and office locations.
• Legal Certificates: Copies of Registration Certificate, GST, and PAN card.
• Financial Proof: Audited balance sheets or turn-over certificates for the last [2-3] financial years.
• Work Portfolio: Brief case studies, photographs, or reference letters of at least 2-3 major events successfully completed in the past 3 years.

6. How to Register

Interested agencies are requested to visit the CYSD official Vendor Portal to complete their registration forms and upload the necessary credentials digitally.

Note: There is no fee associated with this registration process.
